Privacy Policy
Draft for legal review. Written from how the app actually works. Have it checked by counsel and fill in the bracketed fields before publishing.
This policy explains what information Mimiko ("the app", "we", "us") collects, why, and what choices you have. Mimiko is provided by [COMPANY LEGAL NAME], [REGISTERED ADDRESS] ("we"). Questions: hello@mimikoapp.com.
We built Mimiko to keep as little about you as possible. Most of what you do in the app stays on your iPhone.
Summary
- Most of what you do in Mimiko stays on your iPhone. Signing in with Apple is optional and only backs up your learning data.
- We use analytics and crash reports to fix and improve the app. Your name and email are never sent to analytics.
- We never sell your personal data.
- You can delete your account and all learning data from inside the app.
What we collect
Information you give us
- Onboarding answers. The name you enter (optional), your Japanese level, goals, interests, how often you want to practice and your daily goal. We use them to set up your feed and study plan.
- Your learning data. Words you save, your review progress, watched and saved videos, achievements and app settings.
This information is stored on your device. If you sign in with Apple, a copy is backed up to our servers so you can restore it on a new iPhone (see "Sign in with Apple and backup").
Sign in with Apple and backup
Signing in is optional. If you sign in with Apple, we receive from Apple:
- a unique identifier for your Apple ID in our app;
- your email address, if you choose to share it. Apple may give us a private relay address instead of your real one;
- a token that lets us revoke the sign-in with Apple when you delete your account. We store it encrypted.
We then keep one backup of your learning data (described above) linked to that account, and update it as you use the app.
Purchases
Subscriptions are bought through Apple's App Store. We never see your payment details. Our subscription provider, Adapty, receives your purchase and subscription status from Apple and gives the app an anonymous profile identifier. We use it to unlock the app and to check that you are subscribed before providing AI explanations.
Usage and diagnostics
- Analytics (PostHog). Which screens you open and actions you take (for example, finishing onboarding, saving a word and which dictionary entry it was, starting a trial), your chosen level and daily goal, subscription events that Adapty forwards (trial started, renewed, cancelled), and basic device information (model, iOS version, language, app version). We use this to understand how the app is used and to improve it. Analytics events don't include your name or email.
- Crash reports (Sentry). When the app crashes or hits an error, a report with technical details (device model, iOS version, the error and what the app was doing) is sent so we can fix it.
Advertising attribution (only with your permission)
If you allow tracking when iOS asks ("Allow Mimiko to track your activity…"), Adapty receives your device's advertising identifier (IDFA). We use it only to see which of our ads led people to install the app, so we can spend our budget on the ones that work. If you don't allow tracking, the IDFA is not collected. You can change this at any time in iOS Settings → Privacy & Security → Tracking.
AI explanations
When you open an AI explanation of a word or a line, the app sends our server which line of which video you are looking at. Our server sends that line of the video's transcript to Anthropic, which provides the AI model, and returns the explanation. No information about you is sent to Anthropic. Explanations are stored and reused for other learners who open the same line.
Videos
Videos play in YouTube's embedded player. When a video plays, YouTube (Google) may collect information according to its own policies: Google Privacy Policy. We do not control what YouTube collects.
Notifications
Reminders (your daily goal, the trial reminder) are scheduled on your device. We do not use push notification services, and no notification data leaves your iPhone.
How we use information
- to provide the app: your feed, dictionary, reviews and progress;
- to back up and restore your learning data when you are signed in;
- to manage your subscription and check access to AI explanations;
- to understand usage, fix bugs and improve the app;
- to measure our advertising, only if you allowed tracking;
- to answer you when you contact support;
- to comply with the law and prevent abuse.
We do not sell your personal information, and we do not use it for advertising by third parties.
Legal bases (EEA, UK)
We process your information to perform our contract with you (providing the app and your subscription), on the basis of our legitimate interests (keeping the app secure and working, understanding how it is used, improving it), and with your consent (tracking for advertising attribution, which you can withdraw in iOS Settings).
Who we share information with
We use these service providers to run Mimiko. They process information only on our behalf and for the purposes above:
| Provider | What for |
|---|---|
| Apple | Sign in with Apple, App Store purchases |
| Adapty | Subscription status and, with your permission, ad attribution |
| PostHog | Product analytics |
| Sentry | Crash and error reports |
| Anthropic | AI explanations (transcript lines only, nothing about you) |
| Railway | Hosting our servers and database |
| YouTube (Google) | Playing videos in the embedded player |
We may also disclose information if required by law, to protect our rights or users' safety, or as part of a merger or sale of our business (in which case this policy continues to apply to your information).
International transfers
Our providers may process information in the United States and other countries. Where required, transfers are protected by appropriate safeguards such as the European Commission's Standard Contractual Clauses.
How long we keep it
- On your device: until you delete the app or your data in the app.
- Account and backup: until you delete your account.
- Analytics and crash reports: as long as our providers retain them, typically up to 12 months.
- AI explanations: they contain no personal information and may be kept indefinitely.
Deleting your account and data
In the app, go to Profile → Delete account. This deletes your account and backup from our servers, revokes Sign in with Apple, and erases your data on the device. Deleting your account does not cancel your subscription: manage or cancel it in iOS Settings → your name → Subscriptions.
Your rights
Depending on where you live (for example in the EEA, the UK or California), you may have the right to access, correct, delete or receive a copy of your personal information, to object to or restrict how we use it, and to withdraw consent. To exercise these rights, email hello@mimikoapp.com. You can also complain to your local data protection authority. We will not discriminate against you for using your rights.
Children
Mimiko is not directed at children under 13 (or the minimum age in your country), and we do not knowingly collect their information. If you believe a child has given us information, contact us and we will delete it.
Security
We use encryption in transit, encrypt sensitive tokens at rest and limit access to our systems. No system is perfectly secure, but we work to protect your information.
Changes
We may update this policy. If the changes are significant, we will tell you in the app or by other appropriate means. The effective date above shows when it was last changed.
